Shacon Limited a construction company based in Njewa, Lilongwe is urgently seeking for a skilled and efficient Procurement & Stores Manager to ensure timely procurement of materials and services and storage of the same for its ongoing construction sites.

Position: Procurement And Stores Manager (1 post)

The person will be required to perform the following duties:

1. Procurement & sourcing strategy

  • Develop and execute comprehensive purchasing plans aligned with active construction schedules and project milestones.
  • Source high-quality, cost-effective materials and services and preparation of comparison sheet.
  • conduct market trends analysis for material cost.
  • Import Purchase Management: Manage import purchases, including ordering, tracking and delivery
  • Import Shipment Handling: Coordinate with clearance agents to:
    • Track shipments
    • Clear customs
  • Effective handling of documentation (e.g. bills of lading, purchase orders, goods receive notes, delivery notes invoices)
  • MRA Clearance Process: Ensure compliance with Malawi Revenue Authority (MRA) regulations, including
    • Obtaining necessary import permits and licenses
    • Preparing and submitting import declarations
  • Preparing purchase orders in conjunction with site agents and senior management
  • Supervising and mentoring procurement staff.
  • Liaising with Cargo import & export logistics offices and effective import & export policy implementation

2. Supplier & Contract Management

  • Identify, vet and maintain a robust database of reliable suppliers of materials, goods and services.
  • Lead high value purchases by leading in price negotiations, bargain for discounts and credit terms.
  • Monitor supplier performance regarding delivery times and quality compliance.

3. Stores & Inventory

  • Oversee our warehouses and onsite storage facilities, ensuring secure custody of materials and tools.
  • Implement a robust inventory tracking system to monitor stock turnover, prevent stock pilferage at active sites and minimize dead stock by alert management of expiry of materials from time to time.
  • Conduct routine physical stock counts, reconcile discrepancies and manage surplus or scrap material disposal.

4. Qualifications, SKILLS, Experience & Personal Attributes

Applicants should be in possession of

  • Malawi School certificate of Education
  • Bachelor’s degree in Supply Chain Management, Business Administration, or a related field preferred. Relevant experience will be considered, as an added advantage.
  • Minimum of 3-5 years of experience in purchasing or procurement and knowledge in international purchase and negotiation
  • Proven negotiation skills and ability to maintain a robust relationship with suppliers is a must.
  • Ability to work in a diverse Mult-cultural set-up
  • Proven understanding of purchasing principles and practices
  • Excellent communication and supplier service skills
  • Time management skills
  • Honest and trustworthy
  • Strong leadership skills
  • Self-starter
  • Lead the procurement department
  • Should be computer literate to produce reports and budgets
